Setting Duplicate Application Parameters for the Small Business Template
The Application Processing Module can optionally perform duplicate application checks at application entry. If you restart the flow, the duplicate check will be repeated. For all duplicate match comparisons, case is ignored.
To set duplicate application parameters, perform the following steps:
![]() | Note: If your system uses more than one line of business, select
OM APM Small Business from the Line of Business drop-down list in the top-level menu.
|
- Select the Check for duplicate applications check box if the duplicate application check should occur when the application is entered and updated.
-
Select one or more of the following
Principal Details fields for the system to compare against when duplicate checking is enabled:
- Identification number if the duplicate application check should compare the personal identification numbers of principals against other applications in the system. Note that the duplicate check uses the information entered in the Personal Id field in the system and not the set of identity fields (such as Identification type, Identification number, and Place issued).
- Name if the duplicate application check should compare the names of principals against other applications in the system. Two names are considered a match if the first seven characters of the last names plus the first character of the first names match.
- Address if the duplicate application check should compare the current addresses of principals against other applications in the system. Two addresses are considered a match if the first eight characters of Address Line 1, first three characters of Address Line 2, and first three characters of the postal code match.
-
Select one or more of the following
Business Details fields for the system to compare against when duplicate checking is enabled:
- Federal tax identification number if the duplicate application check should compare the federal tax ID number of the business against other applications in the system.
- Name if the duplicate application check should compare the name of the business against other applications in the system. Two names are considered a match if the first 10 characters of the business names match.
- Address if the duplicate application check should compare the current address of the business against other applications in the system. Two addresses are considered a match if the first eight characters of Address Line 1, first three characters of Address Line 2, and first three characters of the postal code match.
- Phone number if the duplicate application check should compare the current phone number of the business against other applications in the system. Two phone numbers are considered a match if the first five characters in the phone numbers of the two business applications match.
Note: The product name is always part of the duplicate application check. For example, if you only select Name under Principal Details, an application containing a principal name of “Juan Rodriguez” will be flagged as a possible duplicate of other applications for the same product that contain a principal first name starting with “J” and a principal last name of “Rodriguez” or “Rodrigues”. If you only select Federal tax identification number under Business Details, an application containing a federal tax ID number of “32-5813086” will be flagged as a possible duplicate of other applications for the same product that contain the same federal tax ID number. If you only select Phone number under Business Details, an application containing a business phone number of “706-258-3333” will be flagged as a possible duplicate of other applications for the same product that contain a business phone number starting with “706-2”. If you select multiple match criteria, such as principal Name and business Federal tax identification number, all selected criteria must match for the application to be flagged as a duplicate for the same product. - Click Save.
